Professional property reporting

A fair and traceable report-review process

Tenant verification gives the tenant a secure opportunity to review the original inventory and submit relevant comments within the permitted review window.

Overview

Why the original report must be preserved

The original report represents the clerk's record at the time of inspection. Tenant comments should not silently overwrite that document.

The CJH process is designed to preserve:

  • the original report;
  • the tenant invitation and review window;
  • comments and supporting evidence;
  • revision decisions;
  • the verified report version;
  • the audit and delivery history.

Our approach

What tenants should comment on

Useful comments are specific, factual and linked to the relevant room or item. Where a visual issue is raised, a clear supporting photograph can provide context.

General disagreement without location or detail may be difficult to assess.

Our approach

What verification does not mean

Verification does not mean that CJH accepts every submitted statement as fact. It means the comment has been captured and handled through the governed process.

Overview

Closed and reopened reviews

Once a review is closed, later changes should require a controlled reopen process. Previous versions and comments must remain recoverable rather than being replaced.

Overview

Secure access

Tenant access must use a restricted token tied to the correct verification. It must never expose another tenancy, client account or unrelated report.
